Overview

The Millennia team is composed of talented software developers, accomplished client service leaders, and highly experienced patient support specialists. Effective software management is paramount to success in the fast-paced app development world. Before partnering with Adaptavist, Millennia lacked an efficient project management system; they relied on a complex and confusing Excel spreadsheet to plan the entirety of their app management. This spreadsheet ballooned to 158 rows and made visibility, efficiently sharing information, and setting up new projects cumbersome.

The challenge

The most pressing challenge was poor project visibility and finding a tool that would allow the precision and detail of Excel, but also provide a holistic view of projects. The project manager, Riley Beatty, struggled to track work statuses efficiently, leading to a clouded understanding of progress and potential obstacles. This lack of insight hindered decision-making and coordination efforts, obstructing consistent progression. Leadership needed a bird's-eye view of the work, especially with many departments and moving parts working together.

Onboarding customers was a painfully slow process. During a month, only three could adequately be brought on. This threatened Millennia's ability to scale, and they identified this as a key priority to improve.

Millennia desired a slick, easy-to-use interface displaying up-to-date status, allowing them to provide 'customer as partner' experiences, where customers can side-car project management and facilitate accountability for their own delivery responsibilities. We also implemented mirrored contact boards to give clients tailored visibility into responsibilities and help keep them accountable. Our team set them up with template generation, allowing project managers to create a custom project based on services purchased with the click of a button (literally).

During the first month of incorporating monday.com into their work structure, Millennia went from onboarding three customers a month to an impressive twelve.
