One of the most exciting developments in the world of Atlassian is Confluence Databases. This feature, available for Confluence Cloud users, revolutionises how you organise and share information. We'll show you how to use Databases and provide our top five tips for leveraging this feature.

What are Confluence Databases?

Imagine storing all your critical data and information in one place, according to your needs. Confluence Databases make this possible. This feature enhances Confluence with powerful database capabilities directly integrated into the platform. Whether it's customer information, project progress, or inventory lists, Confluence Databases offer a flexible and accessible solution.

Getting started with Confluence Databases

  1. First things first: Confluence Databases are integrated directly into the Cloud platform, so no additional installation is needed.
  2. Create a new database: There are several ways to do this.
    • Option 1: Go to the Confluence area where you want to create a database. Click 'Create' and then select 'Database'. Confluence provides various templates to make getting started easier, including project trackers, inventory lists, and more.
    • Option 2: To create a database in your space, click the '+ button' to the right of the content area in the sidebar view and select 'Database'.
    • Option 3: While editing a Confluence page, click the '+ symbol' in the toolbar and search for the 'Create Database' option or type '/Database' directly into the text. Here, you also have the option to embed an existing database on your Confluence page.
  3. Customise your database: Once you've selected a template, you can modify your database as desired. Add columns, define data types (e.g., text, number, date), and adjust the view to fit your needs. You can also set up filters and sorts to facilitate navigation in your database.
  4. Add data and share: You can now enter content into your database. You can add information manually or, if available, import from existing sources. Once your database is set up, you can share it with your team and collaborate by granting editing permissions.

5 tips to get the most out of Confluence Databases

  • Structure your data: Before entering data into your database, plan how you want to structure it. Consider what information you need to capture and how it can best be categorised. A thoughtful structure helps you and your team find and update information faster.
  • Use templates: Confluence provides a variety of database templates for different use cases, such as project management, inventory management, and customer relationship management. Start with a template that is closest to your needs and then customise it as needed. This can save you a lot of setup time.
  • Set permissions strategically: Confluence allows you to set detailed permissions for each database. Use this feature to control who can add, edit, or view data. This is particularly important to maintain the integrity of your data and ensure that only authorised individuals can make changes.
  • Integrate Confluence Databases with other Atlassian products: One of Confluence's strengths is its ability to integrate seamlessly with other Atlassian products like Jira. Leverage these integrations to optimise your workflows. For instance, you can automatically create or update tasks in Jira based on the information in your Confluence Database.
  • Use filters and labels: To ease navigation and finding information in your databases, make good use of filters and labels. This allows you and your team to quickly locate the necessary data without having to search through large amounts of information manually.

Advantages of databases

Confluence Databases represent a significant advancement in improving team organisation and collaboration. By integrating powerful database functions into the familiar environment of Confluence, it's easier than ever to store, organise, and access information. Whether for small teams or large organisations, Confluence Databases offer the flexibility and scalability needed for modern work environments.
