As an administrator, you may want to set up predefined Form Mails which can then be used in mail forms, helping to simplify the creation and use of mail forms. Form Mails are reusable and can appear in several mail forms, making them convenient.

Form ID's are created the Form Mail administration section. They provide a number of benefits such as:-

  • Control the behaviour of the responses to a form
  • Track the usage of an ID
  • Update several forms that use the same ID at the same time
  • Link the responses to a Form to the Form ID Inbox

It's not necessary to use Form ID's and you can set a direct destinations in the mail-form macro, however the Form ID is a simple mechanism used to administer and manage the use of Form Mail more easily and is a good option when creating forms that are designed to be more permanent.

 

Prerequisites
  • Form Mail for Confluence installed
  • Logged in as an Administrator

 

 Instructions for Form Mail for Confluence 4.1 (onwards)
Instructions
  1. Navigate to the administrator console
  2. Select Form Mails on the panel on the left hand side of the page
  3. Click "Add a new Form Mail config"


  4. Complete the Form Mail Config form
    4.1 Provide a unique ID/name used to identify the Form Mail configuration
    4.2 Set collector type to "Email Relay" to or to use the Form Mail Inbox, select Internal inbox
    4.3 Enter the destination email address submitted form mails should be sent to
    4.4 Provide a brief description
    4.5 Provide a success message to be displayed to senders after having submitted their form mail

    Note : You can also give multiple email addresses against the Destination, in order to send the email to groups.



  5. Save your Form Mail Configuration
  6. The new form mail will appear in your list of defined form mails




  7. You can now use this form mail as a parameter for the {mail-form} macro

Instructions
  1. Navigate to the administrator console
  2. Select Form Mails on the panel on the left hand side of the page
  3. At the bottom of the Form Mail - Management page, click "Create Form Mail". The following form will appear:



  4. The form should be filled out using format provided below



    4.1 A unique ID used to identify the Form Mail configuration
    4.2 A brief description to help identify what the Form Mail is used for
    4.3 Select Email Relay
    4.4 Enter the destination email address submitted form mails should be sent to
    4.5 Prove a message to be displayed to senders after having submitted their form mail

    Please note: whilst Bandana store can be used for Data Handling, it is currently an experimental feature and is not supported.

  5. Click OK at the bottom of the form
  6. The new form mail will appear in your list of defined form mails



  7. You can now invoke this form mail when creating a {mail-form}mail-form within a page
