This page covers common questions in relation to purchase of products and services form Adaptavist... Note: A brief overview of licensing can be found in our Licensing FAQ.

1. Pricing

1.1 How much do the products and services cost?

Our prices are always available online - click here for more information.

1.2 Can I request a Quote/Invoice (including in a different currency)?

Yes, please create a ticket in the General and Sales enquiries project of our Customer Support Portal.

We can quote in GBP, EUR, USD, CAD and AUD as standard. Quotes in other currencies are subject to availability and may take longer.

1.3 Are there discounts for block-buying services?

Discounts of 5% and 10% are currently available for Adaptavist services when purchasing quarterly (3 months) or annually (12 months) in advance.

1.4 Are there discounts for buying multiple products?

The following discounts relate to Atlassian products only (Confluence, JIRA, etc):

  • 2 licenses = 10% discount off the total price
  • 3 - 4 licenses = 12.5% discount off the total price
  • 5 - 9 licenses = 15% discount off the total price
  • 10 or more licenses = 20% discount off the total price

All these discounts are in addition to any discount you may get for hosting the license Adaptavist's Hosting Service.

Commercial plugins developed by Adaptavist can be purchased under a cost-effective "Site License" which allows you to run the plugin on any number of wikis within your organisation. See Cluster and Site Licenses for more information.

1.5 Are there any discounts for government organisations?

Discounts are not offered to government organisations (unless you are a provider of primary, secondary or tertiary education — in which case you would qualify for academic pricing - see below).

Government organisations purchasing software are required to purchase commercial licenses.

1.6 Are there any discounts for academic institutions?

Yes, an academic discount of 50% is available for Atlassian products and Adaptavist plugins.

To qualify for an academic discount on an Adaptavist plugin, you must be running an academic license of Confluence.

1.7 Do Adaptavist offer reseller discounts?

We are performing limited trials with select resellers at present. Please contact our sales team for more information.

1.8 Are there any applicable taxes? (UK and EC)

Adaptavist is company in the United Kingdom and as such must collect VAT (Value Added Tax) under the following circumstances:

  • If you are purchasing from within the UK, as a consumer, business or other organisation, VAT of 17.5% applies
  • If you are a consumer (ie. buying for personal use) within the EC (European Community), VAT of 17.5% applies

For avoidance of doubt, businesses and other organisations outside the UK do not need to pay VAT.

No other taxes are collected by Adaptavist.

1.9 Can you supply a W-8BEN form? (US organisations)

Adaptavist does not employ or contract any staff in the US and as such a W-8BEN form is not required, as per instructions we have received from the IRS.

You can download a signed certification of our residency for your accounts or purchasing department which may help.

We have recently applied for an EIN (see footer of this website) and hope to be able to provide W-8BEN forms in the future to make purchases easier.

1.9a Can you provide a W-9 form? (US organisations)

The W-9 form can only be used by entities based in the US. Adaptavist is a UK based company and does not employ or contract any staff in the US and as such a W-9 form cannot be provided (as per specific instructions in the "Purpose of this Form" section of the form:

Use Form W-9 only if you are a U.S. person (including a resident alien), to provide your correct TIN to the person requesting it (the requester) ...

1.10 Can you supply a VAT 66 form? (Spain and other European countries)

Yes, please request the form by creating a ticket in the General and Sales enquiries project of our online tracker. Unless requested otherwise, the form will be faxed to the number you provide.

Please indicate whether you require a fax or scan of the form (much faster turnaround) or an original copy (up to 4 weeks delay, depending on our current stocks of the form).

Note: This form is not required by customers in the UK, our VAT registration number is GB 872 1217 39.

1.11 Can you fill in a MOD. 21-RFI form? (Portugal)

Yes, please ensure that you post the three copies of the form to our head office and include a copy of your order or the quote/invoice you have received from Adaptavist in relation to the purchase. We will be unable to assist you if you fail to include a copy of the order.

1.12 Are there any other things that can affect price?

Prices may be affected by organisations based in countries that do not have tax treaties with the United Kingdom and are therefore required to impose withholding taxes.

If this applies to you, UK taxation law requires us to provide proof of tax withheld. As such, we will require documentation from you which states the amount of tax withheld (your tax office should be able to supply the relevant documents).

Please contact us to discuss the potential implications prior to making a purchase. This will extend the time it take for order processing, usually substantially.

2. Ordering

2.1 Can I request a quote or invoice?

Yes, please request the order by creating a ticket in the General and Sales enquiries project of our online tracker.

Please clearly state the items you wish to purchase (e.g. "1 x BCLE: Theme Builder Commercial 'Enterprise' License") and the currency you would prefer to be billed in.

We will require the following information for both billing and delivery address:

  • Contact name, email address and phone number
  • Company name
  • Full postal address (including country)

If you have a purchase order number, please let us know and we'll include it on the quote, proforma or invoice (as applicable).

A quote or invoice will then be attached to the ticket and you will receive an email notification.

2.2 What is the process for ordering products?

The easiest way is to purchase via our online shop which accepts PayPal and most major credit and debit cards (with the notable exception of American Express).

If you need to make payment by any other method (bank transfer, cheque or credit card payment by phone), please request a quote or invoice.

License and source downloads (if applicable) will only be made available when full payment has cleared in to our account.

2.3 What are the time-scales for various payment methods?

Buying online via our shopping cart is by far the fastest way to get things done.

2.4 Does Adaptavist accept purchase orders for product licenses?

Under no circumstances will Adaptavist accept purchase orders as a form of payment, nor will we accept any terms and conditions associated with any purchase orders. Adaptavist's payment terms for products (including our own plugins and third party products) are strictly payment in advance of delivery.

This means that the license key will only be issued after your payment is received and has cleared in to our bank account.

However, we are happy to reference your PO number on your quote/invoice for your internal tracking if required. To proceed please request a quote or invoice. The quote or invoice showing your PO number will then be attached to the ticket.

2.5 Does Adaptavist accept purchase orders for services?

No, not currently. We are investigating this option.

2.6 Will you enrol in our supplier database or fill our our vendor profile form?

Unfortunately, within Adaptavist's current price structure, we're unable to register in your supplier database or fill in proprietary vendor profile forms. If you consider our pricing model and the costs of filling in and managing individual profiles with each of our customers, you can begin to understand our position.

We maintain a standard vendor profile with all of our customers as this allows us to focus our resources on support and development of our products and services. Our vendor profile can be provided on request and contains sufficient details for you to enrol us on almost all types of supplier database.

Under no circumstances will we accept any bundled terms and conditions associated with enrolment on your supplier database.

When purchasing licenses, remember that it is far simpler and quicker just to purchase via our online shop using a credit or debit card.

2.7 Do you sell Goods or Services?

In the UK and EC software licenses and hosting are defined as Services.

You should never refer to "Goods" (physical products) if providing a purchase order.

2.8 Which SIC codes apply to Adaptavist?

There isn't any one SIC code that adequately describes the range of products and services offered by Adaptavist, so take your pick from the following:

3. Payments and license provision

3.1 Which payment methods are accepted, and what are your payment terms?

Please see Payment Methods for more details (including delivery time-scales).

Adaptavist's payment terms for products, plugins and support services are strictly cash only in advance. This means that the license key will only be issued after your payment is received.

Other services can sometimes be started prior to receipt of payment - please ask for details.

3.2 I'm not in the UK, will your bank transfer details work?

Yes, we've received bank transfer payments from over 40 countries. If your purchasing/procurement department have any issues, please ask them to contact us or relay their questions.

3.3 After I purchase a license, do I need to reinstall the software?

There is no need to reinstall your software. Your existing installation can be updated by copying or uploading (as applicable depending on product) your license key into the 'License Details' page.

3.4 How is the software distributed? Will I receive a CD-ROM or shrink-wrapped product?

Adaptavist has adopted the Electronic Software Distribution (ESD) model. Consequently software is available only via HTTP download. Adaptavist does not distribute any software on CD, DVD or as a shrink wrapped product.

As all commercial and academic licenses include 12 months of software maintenance (support and updates), the ESD model is the best way to stay up to date with the numerous software releases made available to you. At your discretion, maintenance can also be renewed by purchasing a maintenance extension for the product.

3.5 After an order has been placed, how and when can the license key and source be accessed?

You will receive your license keys and download details via email within 3-7 days of reconciliation of the funds clearing in to our account.

Failure to pass through the order reference with the payment will lead to delays in reconciliation because we get lots of payments for the same amount so we can't just guess which one is yours!

Access to your license key(s) and any applicable source code is provided only after the successful receipt and processing of your payment.

Once payment is received, a confirmation email will be sent including instructions on accessing the license key and any applicable source code are provided in the confirmation email.

3.6 Can we get a refund or perhaps have an acceptance period in case we are not happy with the product?

Adaptavist do not offer refunds or acceptance periods - because you can try before you buy!

We provide a fully functional version of the software for you to evaluate. Evaluations are for at least 30 days, allowing you to see and use the software before you proceed with a purchase.

What you'll be using during your evaluation is what you'll be getting when you buy. In fact activating the commercial or academic license involves simply updating the license key.

Adaptavist can also provide you with an evaluation extension if you need more time to become confident in your decision to move ahead with a purchase (just contact us). So please, take advantage of our liberal evaluation policy and be sure the software is right for you and your team before proceeding with a purchase.

3.7 Who am I purchasing from?

4. Upgrading

4.1 What upgrades paths are available and what is the difference between an 'upgrade' and an 'update'?

The difference between an 'upgrade' and an 'update' is best explained through two simple examples based on our Theme Builder plugin:

  • Upgrade: One can upgrade from Theme Builder Team to Theme Builder Enterprise. Upgrades are charged as per our current upgrade pricing.
  • Update: One can update the version of their software from Theme Builder 2.0.8 to Theme Builder 3.0.1. Licensees can update to any version of their licensed software released during their active maintenance period, all at no additional cost (see our section on software maintenance).

It is also possible to upgrade services such as hosting (eg. to get a more powerful server) and support (eg. to get additional weekly coverage). Please contact us for details.

4.2 How much does it cost to upgrade my software license or service?

Please see License Upgrades for details.

4.3 How can I order a software or service upgrade?

You can upgrade between different editions of software or a service at any time. To order an upgrade, follow the same procedure as when you made the original purchase.

5. Software maintenance (support and updates)

5.1 What is software maintenance?

Software maintenance covers access to any relevant online support and software updates for your software license. All commercial and academic licenses include 12 months of free maintenance (commencing from the date of purchase).

5.2 When does my software maintenance start?

  • New license purchase: Your 12 month software maintenance period will commence from the date of payment receipt.
  • Upgrade: Your 12 month software maintenance will commence from the date of payment receipt and replaces any active software maintenance of the upgraded license.
  • Software maintenance renewal: Your 12 month software maintenance will commence from the expiration date of the previous maintenance period, regardless of when the maintenance renewal was purchased.

5.3 Can I purchase more than 12 months of software maintenance in advance?

You can hold a maximum of 2 years worth of active software maintenance for any one license.

For example, you can purchase a new license and one maintenance extension at the same time to get a total of 24 months maintenance at today's prices. You'd then have to wait until the first 12 months had expired before you could buy an additional maintenance extension as you can only have 24 months maintenance at any given time.

5.4 What happens after the first 12 months? Can I use the software without active software maintenance?

After the first 12 months, your software maintenance will expire and you will no longer be able to access support or software updates. Renewing your software maintenance is done purely at your discretion and can be renewed in advance of your maintenance expiration to ensure uninterrupted access to the support and software updates.

You can continue to use your software after the active maintenance period expires. As all commercial and academic licenses are perpetual, you can use your software into perpetuity.

Do keep in mind that software maintenance renewals commence from the expiration of the last active software maintenance period.

5.5 Why should I renew my software maintenance?

You don't need to renew, however if you do you get the following benefits:

  • Free upgrades - including bug fixes, security updates and new features
  • Online support

5.6 How much does it cost to renew my software maintenance?

It costs 50% of the current price of a new license. Please see Maintenance Extensions for current pricing.

Note: Maintenance renewals commence from the date the previous maintenance period expires, regardless of when the maintenance renewal was purchased.

5.7 Can I synchronise the maintenance renewal dates on my licenses?

No, not currently.

5.8 How can I purchase a maintenance renewal?

To order a maintenance renewal, please use the same process as when you purchased the original license.

6. Licensing

6.1 What are the conditions for an Academic License?

Adaptavist's academic plugin licenses will run on any Atlassian software licensed as academic.

Correct at the time of writing, the following organisations are eligible for an Atlassian Academic License:

  • Educational institutions: Public or private K-12, vocational schools, correspondence schools, junior colleges, colleges, universities, or scientific or technical schools that are accredited by a national accrediting agency.
  • Administrative offices & boards of education: Provincial, district, regional, national and state administrative offices and authorities of the Educational Institutions defined above.
  • Public libraries
  • Public museums
  • Home-school programs
  • Research institutes that are affiliated with an accredited university.
  • Teaching hospitals that are affiliated with an accredited university.
  • Training and teaching organisations that are accredited by a statutory government qualifications body.

Proof of accreditation or affiliation may be required when ordering an Academic License.

6.2 What are the conditions of an Open Source Project License?

Open Source Project Licenses are our way of giving something back to the open source community. These licenses are available for all of our software and are issued at no cost to the qualifying open source project.

Open Source Project Licenses are issued only if the applying project can meet the following conditions:

1. The project is using an OSI approved license;
2. The project has a publicly accessible website;
3. The instance of JIRA and/or Confluence, for which the license is being provided, is to be run on a publicly accessible web server.

To obtain an Open Source Project license of an Atlassian product, eg. Confluence or JIRA, please contact Atlassian directly. Additionally, Atlassian may request confirmation of an established code base and at least a single software release.

Adaptavist plugins will automatically run in free license mode when installed on an Atlassian application running an open source license. For more information, please see Free, Evaluation or Developer Licenses.

6.3 What are the conditions for a Community License?

Community Licenses are available for all of software applications and are issued at no cost to the qualifying organisation.

Community licenses are designed for organisations which are:

  • non for profit,
  • non-government,
  • non-academic,
  • non-commercial,
  • non-political and
  • have no religous affiliation

in nature, that would not otherwise be able to afford our software. If your organisation is philanthropic in nature then you probably qualify.

Adaptavist plugins will automatically run in free license mode when installed on an Atlassian application running a community license. For more information, please see Free, Evaluation or Developer Licenses.

6.4 Would additional licenses be required if multiple instances of the software were to be installed on a single server?

Yes, additional licenses would be required. Each license permits only the deployment of a single instance of the software in a commercial environment.

You can purchase a "Site License" for Adaptavist plugins which entitles you to run them on any number of servers within your organisation. For more information, please see Cluster and Site Licenses.

6.5. Can the products be clustered?

Atlassian's Confluence wiki can be clustered – a process whereby several Confluence instances, each on separate machines on the same LAN, are combined in to a cluster. Each instance in the cluster is called a "node".

To cluster Confluence, you will need to buy a license for each node.

To run Adaptavist's commercial plugins on a Confluence cluster, you'll need to purchase the "Cluster" license for the relevant plugin, or alternatively purchase a "Site" license which allows installation on any number of clusters within your organisation. For more information, please see Cluster and Site Licenses.

6.6 Would additional licenses be needed if the software is deployed on a development server or staging server for testing purposes?

No, you can use free Development licenses in your testing, development and staging areas.

Adaptavist plugins will automatically run in free license mode when installed on an Atlassian application running a developer license. For more information, please see Free, Evaluation or Developer Licenses.

7. End User License Agreement

7.1 Our legal department would like to make some changes to your End User License Agreement (EULA). Is that ok?

Unfortunately, within Adaptavist's current price structure, we're unable to make any changes to our EULA. If you consider our pricing model and the costs of creating and managing individual agreements with each of our customers, you can begin to understand our position. Maintaining a standard EULA with all of our customers allows us to focus our resources on meeting our obligations under these agreements. Do keep in mind of course that our EULAs have been very carefully authored to be fair to both you and us.

There may be some issues that are not covered here or on the rest of this page. If so, please feel free to contact us.

7.2 Your EULA refers to the grant of publicity rights to Adaptavist. What does that mean? Can we change that?

We lists a small number of our customers on our website as examples of organisations using our software. All other disclosures about our customers (customer testimonials, case studies, etc.) are done so only after collaborating with and obtaining permission from our customers.

If you don't want us to mention your company name at all, just let us know and we'll add you to our list of companies requesting to not be party to any disclosures or forms of publicity (including our customer lists on our website).

7.3 Can we change the jurisdiction of the EULA?

We can understand the desire to engage in any litigation in a local and familiar legal system. No doubt, for many of the same reasons, we feel the same way too. Although we can't change this clause, we can say that the UK legal system is a world class legal system and will offer protection and justice should the situation arise. That said, we have never entered into any litigation with any of our customers.

7.4 Will Adaptavist agree to conditions in a purchase order?

No, we won't. Ever. See 7.1 and 7.3 in this FAQ. If that's a problem for you, please find another vendor. Alternatively, remove such assertions from your purchase order and we can continue to do business.

7.5 If Adaptavist doesn't reject Buyer's terms and conditions within 5 business days, does that mean that Adaptavist agrees to them?

This is an increasingly common piece of legal boilerplate found in purchase orders:

This purchase order (PO) constitutes an offer on the part of the Buyer (as defined in this PO) upon the terms and conditions and at the prices stated herein, and shall constitute a binding contract upon Seller (as defined in this PO), unless notification to the contrary is received in writing within five (5) business days of the Seller's receipt of PO

Hrm, let's think about that for a nanosecond... No!

If your legal team have taken time to make such an absurd assertion, please accept our apologies for taking up your precious time - unfortunately we won't be doing business with you and we hereby reject all terms, conditions, pricing and other assertions you have tried to force upon us without our consent or agreement.

8. Bundled Software

8.1 Is there any third party software in the product?

Should a product contain any bundled libraries we will list them on our website, attached to the EULA page for the plugin, as soon as practicably possible. For more information, please see Embedded Software.

8.2 What licenses do bundled software libraries use?

We ensure that bundled software uses either a non-viral commercial or open source license, including:

  • Commercial, royalty free
  • BSD or New BSD (OSI Certified)
  • MIT (OSI Certified)
  • Apache License, aka ASL (OSI Certified)
  • etc.

In the case of any jQuery plugins, we ensure that they offer the MIT license and choose that license.

We do not use any GPL or LGPL licensed libraries or viral forms of Creative Commons libraries. For more information, please see Embedded Software.
