Setting Space Permissions

This tutorial shows you how to edit Space Permissions in order to define who can see an edit content within a space...

Note: If you haven't already done so, you should read about Space Permissions in order to understand what each permission is used for.

Requirements

  • You must be logged in
  • You must be a site administrator or have the "Space Admin" privilege for the space

Step 1 - Enter Space

Go in to the space for which you wish to change the privileges (by clicking the relevant link on The Dashboard).

Step 2 - Space Admin

Depending on which theme you are currently using within the selected Space, you will have to use a slightly different method to access the Space Admin page...

Default or Left Navigation theme

Click on the "Browse Space" link near the top-right of the page:

Then click on the "Space Admin" tab:

Builder theme

Select "Space Admin" from the "Edit > Administration" menu:

Step 3 - Edit Privileges

Click the "Permissions" link in the navigation bar:

Click on any of the "Edit Permissions" buttons (they all do the same):

What happens next depends on which permissions you want to set... So, logically, we're going to go through the three key sections backwards!

Anonymous Access

There will always be a panel at the bottom for anonymous user permissions. Before setting any other permissions, you need to deal with the anonymous users first...

Simply tick the boxes to grant the associated permissions:

Remember that registered users who have not logged in yet are seen as anonymous. There's no point in restricting permissions of logged in users if anonymous users are granted those permissions. For example, if you state that logged in users (either individually or as a group) cannot create comments while allowing anonymous users to create comments, then a registered user could simply log out and post a comment!

Individual Users

In the middle of the settings panel is the area for individual users.

To add a user, simply type their username in to the space provided and click the "Add" button. You can click the icon to search for a user.

You can add multiple users by separating their usernames with commas.

When new users are added, they will only have the "View" permission by default so you should add any additional permissions if required by ticking the relevant boxes.

To change the permissions of an existing user, simply tick or untick the boxes as applicable.

To remove an indvidual user, simply remove their "View" access and their name will be removed from this section of the settings panel when you save the settings.

Groups

User Groups allow you to manage permissions of multiple users more easily. For example, you might want all the staff of your company to be able to view and edit your Intranet so you could create a "Staff" user group.

To add a group, simply select the group from the drop-down list and click the "Add" button.

By default, all newly added groups will only have the "View" permission, so you should tick the relevant boxes to assign them additional permissions if required.

To change the permissions of an existing group, simply tick or untick the boxes as applicable.

To remove a group, simply remove their "View" access and the group will be removed from this section of the settings panel when you save the settings.

Saving

Once you have finished making changes, click the "Save All" button that appears below the anonymous permissions section of the settings panel.

Hints and Tips

User Groups really do make it a lot easier to manage permissions, even if you only have a small number of registered users.

The confluence-users group is an in-built user group that contains all registered users.
